Position Summary

The Work Order Controls Supervisor supports the Administrative Manager in coordinating work orders, employee scheduling, timesheet administration, and operational reporting. The role is responsible for maintaining accurate records, reviewing labor and bank-hour transactions, identifying discrepancies or unusual reporting patterns, and supporting the overall efficiency and integrity of Field Controls operations.

Key Responsibilities

  • Coordinate and maintain work orders, employee assignments, schedules, and related records using company-approved systems and software platforms.
  • Support the Administrative Manager in assigning work orders and scheduling field personnel to ensure operational requirements are met.
  • Monitor and maintain accurate work order information, including updates, status changes, and completion records.
  • Review employee timesheets, job numbers, labor allocations, and bank-hour transactions to ensure accuracy, completeness, and compliance with company policies.
  • Analyze labor utilization, time reporting, and operational data to identify discrepancies, unusual trends, inconsistencies, or potential misuse of company time-reporting systems.
  • Investigate time-reporting discrepancies through data analysis and supporting documentation, and escalate findings to management for review and follow-up.
  • Generate and maintain daily, weekly, and monthly reports related to workforce utilization, work orders, labor hours, productivity, and operational performance.
  • Assist with internal audits by maintaining accurate records and supporting documentation.
  • Respond to inquiries from employees and managers regarding work orders, schedules, timesheets, and bank-hour balances.
  • Recommend process improvements to enhance operational efficiency, reporting accuracy, and data integrity.
  • Perform general administrative duties, including data entry, document management, filing, and record retention.
  • Contribute to team objectives and undertake additional duties as assigned.
  • Perform other related duties as assigned.

Qualifications & Skills

  • Diploma or degree in Business Administration, Operations Management, Data Analytics, or a related field, or an equivalent combination of education and experience.
  • 3 – 5 years of experience in scheduling, workforce coordination, operations administration, or data analysis.
  • Strong analytical and problem-solving skills with the ability to identify trends, anomalies, and discrepancies within large datasets.
  • High attention to detail and accuracy.
  • Proficiency in Microsoft Excel and other reporting tools.
  • Experience working with ERP, work order management, scheduling, or workforce management systems is an asset.
  • Ability to handle confidential information with professionalism and discretion.
  • Strong communication and organizational skills.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
