Position Scope

We are seeking a detail-oriented and proactive Administrative Assistant to ensure the smooth operation of our office. This role provides essential administrative and clerical support, manages phone and email communications, coordinates meetings and travel, assists visitors, and maintains office and pantry organization. The ideal candidate is highly organized, professional, and capable of supporting a productive and welcoming work environment.
 

Job Responsibilities

Office Operations & Supplies

  • Support office operations by maintaining equipment, arranging for repairs, tracking inventory, and ordering supplies.
  • Ensure the office and pantry remain clean and organized by conducting regular checks and liaising with the strata.

Visitor & Administrative Support

  • Greet and assist visitors in a courteous and professional manner.
  • Arrange hotel and accommodation bookings for visitors.

Communication & Phone Management

  • Answer and manage company phone calls in a professional and friendly manner — screen, handle, or direct calls appropriately.
  • Communicate professionally via phone, email, and mail, providing information and responding to inquiries.

Scheduling & Coordination

  • Schedule and coordinate meetings, appointments, and travel arrangements as needed.

Administrative Tasks

  • Handle daily office tasks such as filing, typing, copying, binding, scanning, and mail distribution.
  • Prepare and maintain reports, documents, and records.
  • Assist with administrative projects and ensure tasks are completed accurately and on time.
  • Perform other duties as assigned.


Qualifications & Skills

  • High school diploma or equivalent required; post-secondary education in administration or related field is an asset.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat.
  • Excellent written and verbal communication skills in English; ability to speak and understand Chinese is an asset.
  • Strong organizational and time-management skills with the ability to multi-task.
  • Detail-oriented with strong problem-solving abilities.
  • Positive, professional attitude and strong interpersonal skills for interacting with customers, visitors, and team members.
